Why households and workplaces keep inventing small ceremonies

Nobody plans them and every group has them.

Spend a week paying attention in any office or any home and you will find them: the particular way a meeting opens, the biscuit that appears on a certain day, the phrase everyone uses when someone leaves for the afternoon, the order in which people are asked. None of this was designed. It accreted, usually from a single incident that got repeated because it worked once, and it is now defended with a warmth entirely out of proportion to its content. Groups generate ceremonies the way surfaces generate dust, and the impulse appears to be extremely durable.

The function seems to be coordination of a kind that instructions cannot achieve. A shared repeated action tells everybody present that they are in the same activity, at the same point in it, with the same expectations. It also distributes a small amount of belonging: knowing the form is a marker of being inside the group, and being taught the form is how a newcomer is admitted. This is why new people are often more anxious about the ceremonies than about the actual work, and why they are right to be.

For anybody arranging a shared space, the practical lesson is not to invent ceremonies deliberately, which tends to produce something everybody privately resents. It is to notice the ones that have appeared on their own and to avoid trampling them casually in the name of tidiness. A restructure that removes a small recurring form will produce more resistance than its size can explain, and the resistance is not irrational. Something load bearing was taken out, and it was not on the plan.
